MegaMoot is shaping up to be an absolutely amazing weekend. We’ve got more than 4,000 young people booked in, all ready for four days of fun, adventure, challenges and friendship.
And the best bit is every one of the 70+ activities has been suggested by them.
But we can’t make it happen without you. We are looking for volunteers to help the weekend run smoothly. Take a look at the roles below and see if you can help. You won’t be expected to cover the whole weekend – any time you can give would be welcome. The only pre-requisite is that you hold a current DBS. If you don’t, let us know and we can remedy that.
If you can volunteer in any way, please email email@example.com with your name, contact details, the role you are applying for, your availability, and whether you have a DBS, and it will be passed to the relevant team leader to contact you direct. Please put “Volunteer and the area in which you are volunteering (eg Activities, 1st aid, coffee shop, sub camp, communications) as the subject.
We need anyone with qualifications or experience in the following:
- Kayak and Canadian canoes
- Raft building
- Pioneering -giant catapult
We need people to man various activities including:
- The Cave Maze
- Assault course
- Low ropes
- Night line
- Traversing wall
- Crazy golf and handing out orienteering sheets
- Backswood cooking
- Crystal maze games
- Slack lining
- Mini adventure area
- An area with a sand pit garden games paddling pools
- Junior archery
- Craft tent
We also need people to manage queues for the activities.
We will have a faith centre and would like people to volunteer to run a few sessions of reflection and perhaps a service.
We are also appealing for equipment:
- Any paddling pools
- Bean bags
- Floor cushions
- Chocolate fountains
- Beat the buzzer game
- Small size pool or snooker table
- Table tennis table

We are looking for event reporters and photographers to work as part of the communications and media team.
- May be asked to identify groups from each division represented, and to collect quotes, photos and names for press releases, for submitting during the event
- May be asked to share photos and video content on MegaMoot, Scouting and Guiding social media channels throughout the event. We are happy for this role to be carried out by older Scouts and Guides and above.
- May be asked to provide a written report for the website the day after the event.
- Will be required to use an appropriate tone of voice in all communications.
- Will be required to work as part of a team with other photographers to capture a variety of quality images which are in line with Girlguiding and Scouting identity guidelines and cover all aspects of the event
- Will need to bring your own camera and other equipment
- May be asked to work with a reporter to take photos of groups to accompany press releases
- Will be required to upload an edited selection of photos to MegaMoot within 24 hours of the event
Communication team members
- May be asked to man the communications desk in the information centre, answering queries from event participants and providing information about the day ahead.
- May be asked to escort media around the site, facilitating press interviews with designated spokespeople if required
- will be required to inform the Head of Communications of any incidents in line with the crisis communications plan.
First aid on site will be provided by Nottinghamshire Scout Emergency Support Team (NESST).
The current team includes a Practice Nurse, Emergency First Responders and qualified First Aiders but we would very much like more.
The plan is to have some first aiders in a central first aid post and others with radios, fluorescent jackets, and first aid kits to be mobile throughout the events. We plan to cover the period from 09.00 -23.00 in shifts of 2 to 4 hours, so if numerous people can help this will reduce the demand on leaders leaving their groups. The overnight provision will be sorted by NESST
Sub camp volunteers
We have five sub camps and are looking for volunteers to help throughout the event.
Key roles & responsibilities
- Communication with head of your particular sub camp leader before, during and post the event
- Allocation of physical camping space to units, and ensure adherence to allocated pitches from Thursday onwards
- From Wednesday – Sub camp set up, marking out of pitches, organisation of sub camp office
- Sub camp presence as required Thursday, from 12:00 – 22:00 Friday, 8am to 10pm on Saturday and Sunday and 8am to 4pm Monday
- Active support of campers in their sub camp in any aspect
- Communication of wider camp and sub camp information throughout the camp each day
- •Escalation of significant issues to core team / camp leaders in a timely manner
- Adherence to camp processes and procedures as detailed on the camp Event Manual
- Execution of Sub camp programme
- Arrangement and leading in of units to opening / closing ceremonies by allotted timing plan / communications from events team on the day
Post camp Monday
- Sub camp take down, removal of pitch identification and return of sub camp to as found condition
This list is by no means exhaustive and the role should be flexible enough to deal with ever changing circumstances.
A good camp runs on coffee! The MegaMoot coffee shop will be open from 10am to 6pm on Saturday and Sunday and 10am to 1pm on Monday. We are looking for polite, friendly, punctual volunteers who can work well in a team.
- Serve tea/coffee, biscuits and possibly cakes to the volunteers
- Handle money
- Clear tables and ensure they are wiped down
- Keep floor area, tables and chairs tidy
- Keep rubbish under control
- Ensure serving area and serving implements are clean
